Event Prop Hiring Policy for Customers

 

​Purpose
This policy establishes guidelines for renting event props to customers of Fairy Tale Event Collective. Our goal is to ensure a smooth, efficient, and reliable rental process, providing high-quality props that enhance clients' event experiences while safeguarding our inventory.

 

Scope
This policy applies to all customers and entities interested in renting props from Fairy Tale Event Collective for private, corporate, or public events.

 

1. Eligibility for Rental

  • Individual Customers: Must be 18 years or older and provide valid identification.

  • Corporate/Business Clients: Authorized representatives must provide company details and contact information.

  • Event Planners and Vendors: Must submit business credentials and may be eligible for special partnership or bulk rental rates.

  • All quotations for Fairy Tale Event Collective hire items are subject to availability at the time of booking.

 

2. Reservation Process

  • Inquiries: Customers can inquire about prop availability and pricing through our website, by email, or by phone.

  • Booking Confirmation: A rental booking is confirmed once a deposit is received. To confirm a booking with Fairy Tale Event Collective, you are required to read through the quotation provided carefully ensuring quantities, dates and location details are correct. 

  • Advance Booking: It’s recommended to book props at least 30 days in advance for high-demand items to ensure availability.

 

3. Order Confirmation

  • All customers must agree to this policy for you to get the products. 

  • Orders will not be confirmed until payment has been cleared and the terms and conditions of the hire contract have been signed and returned. 

 

4. Pricing and Payment

  • Rental Rates: Pricing is determined based on item type, rental period, and quantity.

  • Payments are to be made as per the invoices. 

  • Security Deposit: A refundable security deposit may be required to cover potential damages or late returns.

  • Payment Terms: Full payment is due before the props are released to the customer. If your booking for hire items is made within seven working days of the event date, payment will be required in full. Re-confirmation of delivery/pick-up details are also required at the same time. 

  • Late Fees: Late return of props will incur additional fees per day, it will be 20% of the original single-day hire fee for each day the item is overdue. 

 

5. Prop Care and Responsibility

  • Customers are responsible for the proper care and safe handling of all rented props during the rental period.

  • Usage Guidelines: Props must be used according to the specified guidelines that will be communicated during booking process, with particular care for delicate or high-value items.

  • Damage and Loss: Customers will be responsible for the cost of repairs or replacement if props are damaged, lost, or returned in unusable condition.

 

6. Delivery and Return

  • Delivery: Fairy Tale Event Collective offers delivery services for an additional fee. Delivery dates and times must be scheduled in advance.

  • Customer Pickup: Props can be picked up by customers at our warehouse with a scheduled appointment and valid identification.

  • Return: Props must be returned in their original condition by the agreed-upon date. If items are returned late, an extended hire fee will apply. This fee will be 20% of the original single-day hire fee for each day the item is overdue. 

  • Pick up by Fairy Tale Event Collective: Pick up service is offered for an additional cost and must be scheduled in advance. All hire items will be collected from associated venues either on or the next working day after the event unless a prior arrangement has been made. 

 

7. Cancellation and Refunds

  • Cancellation Policy: Customers may cancel their reservation up to 14 days before the rental date for a full or partial refund. In the event of cancellation within 14 days, Fairy Tale Event Collective will retain 30% of the total quote/invoice. 

  • Non-Refundable Deposits: Certain items may require a non-refundable deposit to secure availability.

  • Refunds for Damaged Items: If a reserved prop is unavailable due to damage or other unforeseen circumstances, Fairy Tale Event Collective will offer a replacement or refund.

  • If Fairy Tale Event Collective cannot fulfil the agreement due to poor weather. Fairy Tale Event Collective will use their judgement when taking action in regards to late changes, weather, time limitations and/or your wishes. 

 

8. Liability and Insurance

  • Customer Liability: Upon signing the terms and conditions of hire, customers assume full liability for rented props during the rental period and are responsible for their proper use and safety. This also applies to any items not returned at the end of the hire period. 

  • Insurance: Customers hosting large events are encouraged to purchase event insurance to cover liability for rented props.

  • Company Liability: Fairy Tale Event Collective is not liable for injuries or damages arising from improper use or mishandling of props by customers.

  • In the event of damage or loss, an invoice for itemised repair or replacement costs will be provided by the hirer for payments to be made within 30 days. If any products are returned in an unclean state, a cleaning fee will apply at the sole discretion of Fairy Tale Event Collective. 

 

9. Feedback and Customer Satisfaction

  • Customer feedback on our prop rental service is highly valued and used to improve our offerings.

  • Customers are encouraged to provide reviews, suggestions, or concerns about the rental experience to help us maintain quality service.

 

Policy Review
This rental policy will be reviewed annually to ensure it meets customer needs, reflects changes in inventory.
